Acceptable Use Policy
The rules for using EvoPoint, whether you are a customer, a member of their team, or a member of the public reporting an issue.
Last updated · 3 November 2026
Who this policy applies to
This policy applies to everyone who uses EvoPoint: our customers, their users (company admins, controllers, staff and contractors), and members of the public who use a QR code to report an issue.
EvoPoint is provided by EvoPoint Ltd, a company registered in England and Wales, company number 12798732, at 28 Robert Street, Ynysybwl, CF37 3DU. Customers agree to follow this policy, and to make sure their users follow it, as part of our Customer Terms.
Purpose of this policy
You must not use EvoPoint in a way that is unlawful, harmful, abusive, fraudulent, misleading, insecure or outside the intended purpose of the service. EvoPoint exists to report, assign, resolve and record issues at venues, events and managed sites.
What you must not do
When you use EvoPoint, you must not:
- submit false, malicious or deliberately misleading incident reports;
- upload unlawful, abusive, discriminatory, explicit or violent content, or personal information about anyone that is not needed;
- upload images or information that are not needed to report or resolve the issue;
- use public QR reporting to harass staff, contractors, performers, attendees or members of the public;
- try to access another customer's data, get around the permissions of your role, or interfere with the separation between customer workspaces;
- scan, attack, overload, reverse engineer or disrupt the platform;
- upload malware or other harmful files;
- share user accounts, passwords or sign-in links;
- use the service to process personal data without a lawful basis, or without giving people the notices they need.
Reporting through a QR code
If you scan a QR code to report an issue, your report goes to the organisation that displayed the code. Their authorised users can see it, such as the control room, their staff and the contractors assigned to the job. Only include the details and photos needed to report or resolve the issue.
Our Privacy Policy explains how the information in a report is handled.
In an emergency
Do not rely on EvoPoint as the only way to respond to an emergency. If someone is in immediate danger or needs urgent help, contact onsite staff, security, first aid or the emergency services directly.
EvoPoint is a reporting and record-keeping tool. It does not guarantee safety, response times or the prevention of incidents, and it is not a replacement for the emergency services, security, first aid, fire procedures or risk assessments.
Action on misuse
EvoPoint may suspend or restrict access where we suspect misuse, a security risk, unlawful activity or a material breach of this policy or our Customer Terms.
